Email for Team Communication

Email is a communication tool that lets staff send written messages and file attachments to one or many people at once. A message travels over the internet to the recipient's mailbox, where it waits until they open it. Although email has been around a long time, it is still a modern technology used every day to manage modern teams, from a manager answering one question to a whole department being told about a new policy.

Benefits

  • Quicker than posting: a letter takes days to arrive; an email arrives in seconds, so a team can react to a problem the same day.
  • Cost effective: there is no stamp, paper, envelope or phone call to pay for, and adding more recipients costs nothing extra.
  • Messages are saved: the sender and the recipient both keep a copy, so instructions and decisions can be checked later.
  • Attachments: you can send documents, images and spreadsheets alongside the message.
  • Multiple recipients: the same message can go to a whole team with one click, saving time.
  • BCC: putting a recipient's address in the blind carbon copy field hides it from everyone else, so their contact details stay confidential.

For example, the manager of Harbour Bikes emails all nine staff the new safety policy as an attachment, with every address in the BCC field so no one sees anyone else's email address.
