Privacy Policy

Thank you for using Fetch Decode Explain (the “Website”), which is operated by Ed Punk Ltd (Company Number: 16760187), registered in England and Wales with its registered office at 61 Bridge Street, Kington, HR5 3DJ.

This Privacy Policy explains how we collect, use, and protect your personal information when you use our Website.


Information We Collect

  1. Personal Information (Teachers): When you sign up as a teacher and create an account, we collect your first name, surname, email address, and school affiliation. This enables account creation, activity management, and notifications.

  2. Pupil Information (School Accounts): Teachers and school managers may add pupil details including first name, surname, email address, usernames, and groupings. This allows us to manage activities, send reminders, and enable logins.

  3. Pupil Information (Independent Accounts): Pupils may also sign up directly without being linked to a school. In this case, Ed Punk Ltd is the data controller of their information, and we collect first name, surname, email address, and login details.

  4. Activity Data: We record results such as scores, completion status, and answers (correct/incorrect). This enables progress tracking.

  5. Leaderboards: The Website includes leaderboards that allow pupils’ scores and activity results to be compared within their school only.

    • By default, pupils are shown using an alias (not their real name).
    • A school manager may enable real names for leaderboards.
    • Pupils may choose to continue displaying an alias even if real names are enabled.
    • Leaderboards are never visible outside the pupil’s school or to the public.
  1. Anonymised Statistics: We generate anonymised data on whether questions/activities are answered correctly. This supports difficulty calibration, gamification (e.g. awarding points), and anonymised comparisons between groups.

  2. Login Information: If you sign in with Google or Microsoft, we receive your email address. We do not share any data back with these providers.

  3. IP Addresses: We log IPs of incorrect login attempts to protect against unauthorised access. These are periodically removed.

  4. Analytics: We use Google Analytics to understand how visitors use the Website. This data is anonymised and cannot identify individuals.

  5. AI Features (Opt-In): Some optional features use artificial intelligence services provided by OpenAI.

    • When enabled by a teacher, school manager, or independent pupil, pupils’ answers to exam-style questions may be sent to OpenAI to generate automated feedback and grading support.
    • Only the text of the answer is sent; pupils’ names and email addresses are not shared.
    • Use of AI features is entirely opt-in, and the Website functions without them.

Use of Information

  • Service Delivery: To provide teacher and pupil accounts, manage activities, leaderboards, and track progress.
  • Communication: To send essential service notifications and updates.
  • Improvement: To analyse anonymised usage trends and improve the Website.
  • AI Feedback (if opted in): To provide automated marking or feedback through OpenAI.

Legal Basis for Processing

We process data under UK GDPR on the basis of:

  • Contract (providing accounts and activities).
  • Consent (for optional AI features).
  • Legal obligations (e.g. data protection law).
  • Legitimate interests (developing the Website and maintaining security).

Access to Information

  • Teachers can view and manage the pupil accounts they create.
  • School managers can view and manage both teacher and pupil accounts for their school.
  • Independent pupils can manage their own accounts and request deletion.
  • Authorised staff at Ed Punk Ltd may access data only when required for technical maintenance or security.

We do not share pupil or teacher information with third parties except:

  • Where required by law, or
  • With OpenAI when an opt-in AI feature is enabled.

Deletion and Retention

  • Teachers can delete pupil accounts they manage.
  • School managers can delete both teacher and pupil accounts.
  • School managers must contact us at support@fetchdecodeexplain.com to request deletion of the entire school account (including their own manager account and all linked data).
  • Independent pupils can request deletion of their own account.
  • When a pupil or teacher account is deleted, their personal information (name, email, username) is removed immediately.
  • Activity results (such as correct/incorrect answers) are retained only in an anonymised form that cannot be used to identify the individual.
  • Identifiable teacher and pupil data will be retained for up to 2 years after last activity unless a shorter deletion is requested. After this period, all personal data is securely deleted or anonymised.

Could Data Sets Identify a Pupil?

Identifiable data (names, emails) is stored separately from activity results and linked only by an internal ID. Once the identifiable records are deleted, the activity results are no longer linkable to an individual and are treated as anonymised. We do not combine anonymised data with other data in a way that could re-identify pupils.


Data Security

We use appropriate technical and organisational measures to protect data, including encryption, access restrictions, and monitoring of login attempts. No system can be 100% secure, but we take steps to minimise risk.


Your Rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict processing.
  • Request transfer of your data.

ICO Registration

Ed Punk Ltd is registered with the Information Commissioner’s Office (ICO) as a data controller (Registration Number: ). If you are unhappy with how we handle your data, you may lodge a complaint with the ICO at www.ico.org.uk.


Children’s Privacy

The Website is intended for teachers and pupils aged 13+. We do not knowingly collect information from children under 13. If such data is discovered, it will be deleted immediately.
